This Privacy Policy explains how GetRoomie Inc., a California corporation with an address at 2035 Ninth Street, Berkeley, CA 94710 (“Roomie,” “we,” “us,” or “our”), collects, uses, stores, discloses, and protects personal information in connection with:

  • our website at https://roomie.care and any related websites
  • the Roomie mobile application and family application
  • the Roomie voice-companion device
  • Roomie cloud, account, support, subscription, reservation, and related services
  • any other service that links to this Privacy Policy

Together, these are the “Services.”

1. Important Summary

Roomie is an artificial-intelligence-powered voice companion. It is not a human being.

Depending on the configuration selected, Roomie may process spoken requests, generate spoken responses, remember information an End User chooses to share, deliver reminders, play family voice notes, and create limited activity events.

Roomie has no camera. The Device is designed to provide a visible indication when it is actively processing a spoken interaction.

We do not sell Conversation Content or Voice Notes. We do not use them for advertising. We do not permit advertising partners to use them for advertising.

The family application may show limited events such as whether Roomie was active, a Voice Note was played, radio was used, or a reminder was acknowledged. These events are not evidence of health, mood, safety, presence, medication adherence, or wellbeing.

Roomie is not a medical device, health-monitoring service, caregiver, security system, emergency-response service, or replacement for human contact.

2. Who This Policy Applies To

This Policy applies to:

  • an individual who purchases, reserves, configures, administers, or subscribes to Roomie, referred to as an “Account Holder”
  • the person who speaks with or otherwise uses the Roomie Device, referred to as an “End User”
  • family members, friends, carers, or other individuals invited to use the family application, referred to as “Family Members”
  • website visitors and individuals who communicate with Roomie.

An Account Holder and an End User may be the same person.

3. Notice and Consent for End Users

The Account Holder must ensure that each End User:

  1. receives or is given reasonable access to this Privacy Policy and any short-form privacy notice supplied with the Device
  2. understands that Roomie is an AI system and not a human being
  3. understands what information the family application may show to the Account Holder or invited Family Members
  4. understands how spoken interactions, memory, Voice Notes, reminders, and activity events are processed
  1. consents where consent is required by applicable law.

An Account Holder may not activate Roomie for another adult without that adult’s knowledge and authorization.

Where an End User is legally unable to provide valid consent, Roomie may be activated only by a parent, guardian, attorney-in-fact, conservator, or other person who is legally authorized to act for that End User.

Use in a care facility, assisted-living facility, shared residence, workplace, or other institutional environment may require additional notices, consents, or agreements. The person or organization deploying Roomie in such an environment is responsible for obtaining them.

4. Personal Information We Collect

The information we collect depends on how the Services are used.

4.1 Account and Identity Information

We may collect:

  • name
  • email address
  • telephone number
  • password or authentication information
  • country and preferred language
  • account role and family relationship
  • communication preferences
  • age-confirmation information
  • information needed to verify an account or privacy request.

4.2 Order, Reservation, and Delivery Information

We may collect:

  • billing and shipping names and addresses
  • order and reservation history
  • product, subscription, warranty, and return information
  • transaction status
  • tax and customs information
  • gift-recipient information
  • limited payment information supplied by our payment processor.

Roomie does not intend to store complete payment-card numbers. Payments are processed by Stripe, whose own privacy terms may apply.

4.3 Device and Technical Information

We may collect:

  • Device serial number and product identifiers
  • firmware and application versions
  • Device settings
  • activation status
  • IP address and approximate location derived from IP address
  • connection, network, latency, crash, diagnostic, and security information
  • button interactions and Device events
  • timestamps
  • app and browser information
  • information about software updates and technical performance.

We do not collect precise GPS location unless a specific feature clearly requests it and the user separately authorizes it.

4.4 Conversation Content

When an End User activates Roomie, we may process:

  • spoken audio
  • machine-generated transcription
  • the End User’s request or statement
  • contextual information needed to understand the request
  • Roomie’s generated response
  • information retrieved at the End User’s request, such as weather, news, radio, recipes, or sports information
  • safety, abuse-prevention, or error signals.
  • Roomie’s intended default is to discard raw conversational audio after it has been processed, except where:
  • the End User or Account Holder expressly chooses to save it
  • the user expressly consents to provide a sample for support, quality investigation, or diagnostics
  • temporary retention is reasonably necessary to investigate abuse, fraud, security incidents, or technical failures
  • retention is required by law.

Any temporary support or diagnostic copy must be access-restricted and deleted when no longer necessary.

4.5 Memory Information

If memory is enabled, Roomie may retain selected or summarized information such as:

  • names and relationships
  • preferred topics
  • routines
  • important dates
  • communication preferences
  • favorite radio stations or music
  • stories or facts the End User chooses to share
  • preferred voice, pace, name, and personality settings
  • other information selected for future conversations.
  • Memory may be reviewed, corrected, or deleted through the applicable controls.

Roomie should not infer or label an End User’s medical condition, cognitive condition, emotional state, or safety status from ordinary conversation or usage events.

4.6 Reminders

We may process reminder content, schedules, completion or acknowledgment events, and related settings.

A reminder acknowledgment means only that the relevant interaction occurred. It does not establish that medication was taken, an appointment was attended, or any requested action was completed.

4.7 Voice Notes and Family Content

We may collect and process:

  • recorded Voice Notes
  • sender and recipient information
  • delivery, playback, reply, and deletion status
  • timestamps
  • content voluntarily included in a Voice Note.

Voice Notes may contain personal information about the sender, recipient, or another person. A sender must have the right to provide that information.

4.8 Activity Events

The family application may display limited operational events, including:

  • Roomie was active
  • a Voice Note was delivered or played
  • radio or another supported feature was used
  • a reminder was delivered or acknowledged
  • the Device came online or went offline
  • a setup, update, or technical event occurred.

Activity Events are not health, medical, behavioral, safety, mood, or emergency-monitoring information.

4.9 Support and Communications

We may collect information submitted through:

  • customer-support requests
  • warranty and return claims
  • surveys
  • interviews or product testing
  • emails, calls, or chat
  • reviews and testimonials
  • reports about safety, misuse, or security.

Support calls may be recorded only after an appropriate notice and where permitted by law.

4.10 Website, Cookie, and Marketing Information

Subject to applicable consent requirements, we may collect:

  • pages viewed
  • links and advertisements clicked
  • referral source
  • browser and device identifiers
  • cookie identifiers
  • shopping-cart and checkout activity
  • campaign attribution
  • approximate location
  • interactions with marketing communications
  • information from analytics and advertising partners.

Non-essential cookies and similar technologies will be used only where permitted and, where required, after consent.

4.11 Sensitive Information

Users may voluntarily enter information that is considered sensitive under applicable law, including medication-related, health-related, disability-related, or other private information.

Roomie processes such information only to provide a user-requested feature, with explicit consent where required, or under another applicable lawful basis. Roomie does not use such information for advertising or to infer characteristics for advertising.

Users should not provide sensitive information that is unnecessary for the requested feature.

4.12 Voice and Biometric Information

Roomie processes voice as an input method.

Roomie does not use voice recordings to identify a person uniquely, create a biometric voiceprint, authenticate identity, or conduct biometric surveillance unless a separate feature is introduced with a separate notice and legally valid consent.

5. Wake-Name Processing

  • If wake-name activation is offered and enabled, the Device may process a short rolling audio buffer for the limited purpose of detecting the selected wake name.
  • Before wake-name activation is enabled, Roomie will provide a specific notice explaining:
  • whether wake-name detection occurs locally on the Device
  • whether any pre-activation audio is transmitted
  • whether any buffer is retained
  • how long it is retained
  • how wake-name activation can be disabled.

The Device’s visible listening indicator does not replace the need for this notice.

6. Sources of Personal Information

We obtain personal information:

  • directly from Account Holders, End Users, Family Members, and website visitors
  • automatically from the Device, application, and website
  • from invited users
  • from payment, shipping, support, analytics, fraud-prevention, and advertising providers
  • from third-party content or integration providers
  • from retailers or distribution partners where permitted
  • from public or legal sources where reasonably necessary.

7. How and Why We Use Information

We may use personal information to:

  • accept reservations and orders
  • deliver, activate, configure, and support Roomie
  • provide AI conversations and requested information
  • maintain selected memory
  • deliver reminders and Voice Notes
  • provide family-application functionality
  • authenticate users and protect accounts
  • process payments, returns, refunds, and warranty claims
  • deliver updates and security patches
  • troubleshoot and improve reliability
  • prevent fraud, misuse, and security incidents
  • comply with legal, tax, accounting, product-safety, and regulatory obligations
  • communicate service and policy changes
  • provide support
  • measure website performance
  • market Roomie where permitted
  • establish, exercise, or defend legal claims.
  • For individuals in the EEA or United Kingdom, our lawful bases may include:
  • performance of a contract, where processing is necessary to provide the Services
  • consent, including for non-essential cookies, optional memory, certain audio uses, direct marketing, or sensitive information where required
  • legitimate interests, including security, fraud prevention, support, service reliability, and proportionate product improvement
  • compliance with a legal obligation
  • protection of vital interests, in a genuinely urgent and legally appropriate situation.

Where processing is based on consent, consent may be withdrawn at any time. Withdrawal does not affect processing that occurred lawfully before withdrawal.

8. AI Processing and Model Improvement

Roomie uses automated systems to interpret spoken requests and generate responses.

AI-generated responses are probabilistic and may be inaccurate, incomplete, delayed, inappropriate, or misunderstood. Roomie does not use AI responses to make decisions that produce legal or similarly significant effects concerning an individual.

Roomie does not use Conversation Content or Voice Notes to train a general-purpose AI model unless:

  1. the affected user receives a separate and specific notice
  2. the user provides an affirmative, optional opt-in
  3. declining does not prevent use of Roomie’s core service
  1. the user can later withdraw from future use.

Roomie may use aggregated or appropriately de-identified technical information to improve reliability, latency, safety, and product performance. Roomie will not attempt to re-identify information treated as de-identified.

Our AI and cloud providers must process personal information under contractual restrictions and may not use it for their independent advertising or unrelated purposes.

9. When We Disclose Information

We may disclose personal information to:

Service Providers

Cloud, AI-processing, transcription, hosting, security, customer-support, communications, payment, shipping, returns, analytics, and technical providers that act for Roomie.

Account Administrators and Invited Family Members

Information may be disclosed according to the permissions selected for the family account. This may include settings, reminders, Voice Notes, selected memory fields, and limited Activity Events.

Private conversation transcripts are not displayed to Family Members unless the End User has expressly enabled a specific transcript-sharing feature.

Third-Party Content and Integration Providers

A request for radio, music, weather, news, sports, or another external service may require us to send limited request, device, account, or location information to the relevant provider.

Professional Advisers and Insurers

Lawyers, auditors, accountants, consultants, insurers, and financial institutions where reasonably necessary.

Legal and Safety Recipients

Courts, regulators, law-enforcement authorities, product-safety bodies, or other parties where disclosure is required by law or reasonably necessary to protect rights, security, or safety.

Corporate Transactions

A prospective or actual buyer, investor, lender, successor, or transaction adviser in connection with a financing, merger, acquisition, reorganization, sale, or insolvency, subject to appropriate confidentiality and legal protections.

10. Advertising, Sale, and Sharing

Roomie does not sell Conversation Content, Voice Notes, Memory Information, reminder content, or Activity Events.

Roomie does not disclose those categories for targeted advertising.

We may use or disclose Website Data, such as cookie identifiers and browsing activity, to analytics or advertising partners for campaign measurement or targeted advertising where permitted by law and, where required, after consent.

Some U.S. privacy laws may define that advertising disclosure as “sharing” or “sale,” even when no money is exchanged.

Applicable users may opt out through:

  • a supported browser-based Global Privacy Control signal
  • a request to info@roomie.care.

Roomie honors qualifying Global Privacy Control signals as required by applicable law.

11. Family-Account Visibility

  • Account Holders and Family Members may receive different permissions.
  • Depending on the configuration, an Account Holder may be able to:
  • invite or remove Family Members
  • send and manage Voice Notes
  • create reminders
  • configure Roomie’s voice and interaction preferences
  • view limited Activity Events
  • review, correct, or delete selected Memory Information
  • manage subscriptions and billing
  • unlink or reset the Device.

The Account Holder must not use these capabilities covertly, abusively, or contrary to the End User’s rights.

  • Roomie does not represent that Activity Events establish that an End User is at home, awake, healthy, safe, in a particular mood, following a routine, or taking medication.

12. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including to provide the Services, honor user choices, comply with law, resolve disputes, and enforce agreements.

Our principal retention criteria are:

Account information: for the life of the account and a limited period after closure for security, dispute, and recovery purposes.

Order and payment records: for the period required by tax, accounting, consumer-protection, warranty, and financial laws.

Raw conversational audio: ordinarily only for the time needed to process the interaction, subject to the limited exceptions described in Section 4.4.

Conversation transcripts: for the period needed to provide continuity, security, and user controls, after which they are deleted or reduced to selected Memory Information.

Memory Information: until deleted by an authorized user, memory is disabled, or the relevant account is closed.

Voice Notes: until deleted by an authorized user or the relevant account is closed.

Reminder information: until deleted, completed, expired, or the relevant account is closed.

Activity Events: for the period shown in the application or reasonably necessary to provide the feature.

Support information: for the period needed to resolve the matter and establish a reasonable business record.

Security logs: for a limited period proportionate to security and fraud-prevention requirements.

Marketing preferences: until consent is withdrawn or an objection is received.

Backups: until overwritten through the ordinary backup cycle, subject to legal holds and security controls.

Where law requires a more specific retention period, the applicable notice or application setting will provide it.

13. International Data Transfers

Core Roomie Conversation Data is hosted in Slovenia.

Because GetRoomie Inc. and some service providers may operate in other countries, personal information may be accessed or transferred outside the country where it was collected.

Where required, Roomie relies on appropriate safeguards, including:

  • an adequacy decision
  • the European Commission’s Standard Contractual Clauses
  • the United Kingdom International Data Transfer Agreement or UK Addendum
  • contractual, technical, and organizational safeguards
  • another lawful transfer mechanism.

Information about applicable safeguards may be requested from info@roomie.care.

14. Security

Roomie uses administrative, technical, and physical safeguards designed to protect personal information. These may include encryption in transit, access restrictions, authentication controls, logging, vendor reviews, security testing, and incident-response procedures.

No internet-connected product, transmission, or storage system is completely secure. Roomie cannot guarantee that unauthorized access, loss, misuse, or disclosure will never occur.

Users must protect account credentials, use secure networks, install available updates, and notify Roomie promptly of suspected unauthorized access.

15. Privacy Rights

Depending on location and applicable law, an individual may have the right to:

  • know whether and how personal information is processed
  • access personal information
  • correct inaccurate information
  • request deletion
  • restrict processing
  • object to processing
  • obtain portable data
  • withdraw consent
  • opt out of targeted advertising, sale, or sharing
  • limit certain uses of sensitive information
  • appeal a denied privacy request
  • obtain information about international-transfer safeguards
  • complain to a privacy or data-protection authority.
  • Requests may be submitted by email to info@roomie.care.

Roomie may take reasonable steps to verify identity and authority. An authorized agent must provide evidence of authorization where permitted.

  • An Account Holder may not exercise an End User’s personal rights unless the Account Holder is legally authorized to do so.

Roomie will not discriminate against an individual for exercising a privacy right.

  • EEA and UK individuals may complain to the supervisory authority in their country of residence, place of work, or place of the alleged infringement.

16. Additional United States Privacy Disclosures

Depending on how an individual uses the Services, Roomie may collect the following statutory categories of personal information:

  • identifiers
  • customer-record information
  • commercial and transaction information
  • internet or electronic-network activity
  • audio and electronic information
  • approximate geolocation
  • account credentials
  • inferences and preferences
  • sensitive information voluntarily provided for a requested feature
  • professional or family-relationship information voluntarily provided by users.

The business purposes are described in Section 7. The recipient categories are described in Section 9.

  • Roomie does not sell Conversation Content, Voice Notes, Memory Information, reminder content, or Activity Events.

Roomie may “share” Website Data for cross-context behavioral advertising where permitted and after any required consent. Users may opt out as described in Section 10.

  • Roomie uses sensitive information only for purposes reasonably necessary to provide a requested service, protect the Services, comply with law, or another legally permitted purpose. Roomie does not use sensitive information to infer characteristics for advertising.
  • Residents of applicable states may request access, correction, deletion, portability, or opt-out and may appeal a denied request by writing to info@roomie.care with the subject “Privacy Appeal.”

17. Connected-Product Data Rights

  • For users covered by the European Union Data Act or similar law, Roomie will provide access to eligible data generated by use of the Device and related Services in a structured, commonly used, and machine-readable form where required.
  • Eligible users may request that qualifying data be made available to an authorized third party, subject to:
  • identity and authority verification
  • security safeguards
  • privacy rights of other individuals
  • intellectual-property and trade-secret protections
  • technical feasibility
  • other limitations permitted by law.
  • Requests may be submitted by email to info@roomie.care.
  • These rights are separate from personal-data rights under data-protection law.

18. Children

Roomie accounts are intended for adults aged 18 or older. The Services are not directed to children under 13.

A child may participate in a family Voice Note or supervised household interaction only under the direction and authorization of a parent or legal guardian.

An adult must not upload or retain a child’s voice, image, personal information, or account information without appropriate authority and consent.

If Roomie learns that it collected a child’s personal information contrary to applicable law, Roomie will take appropriate steps to delete or restrict it.

A parent or guardian may contact info@roomie.care to request review or deletion.

19. Third-Party Services

The Services may link to or interact with third-party services. Their privacy practices are governed by their own notices.

Roomie is not responsible for the independent privacy practices of a third party, although Roomie remains responsible for its own selection and use of processors as required by law.

20. Changes to This Policy

Roomie may update this Policy to reflect changes in the Services, law, technology, or business operations.

Material changes will be communicated through the website, application, email, Device, or another reasonable method before they take effect where required.

Where a change requires consent, Roomie will request consent rather than relying only on an updated policy.
